1. Who we are

Irnivex ("we", "us") provides an AI-powered WhatsApp reception and scheduling service for healthcare and professional practices ("Client Practices"). This policy explains how we handle information when you message a Client Practice through an Irnivex-powered WhatsApp number, when you visit irnivex.com, or when you contact us directly (for example, through our website's demo request form).

2. Our role

When you message a Client Practice's WhatsApp number, that practice is the party you have a direct relationship with and is responsible for your information. Irnivex acts as a service provider that operates the AI assistant, message routing, and scheduling infrastructure on the practice's behalf. Each Client Practice's data is kept fully isolated in its own dedicated account — data is never mixed between practices.

3. Information we collect

• Contact information you provide via WhatsApp (name, phone number)
• The content of messages you send to a Client Practice's WhatsApp number
• Appointment and scheduling details you share to book or manage visits
• Information submitted through our website's contact/demo request form (name, business name, work email, phone number, and any message you include)
• Basic technical information (such as IP address and browser type) when you visit irnivex.com, used for security and analytics

4. How we use information

• To operate the AI assistant: understanding and responding to messages, booking or rescheduling appointments, and escalating conversations to a human team member when needed
• To maintain and improve the reliability of the service
• To respond to demo requests and communicate with prospective clients
• To meet legal, security, and contractual obligations
• We do not use conversation content for advertising, and we do not use it to train AI models.

5. How we store and protect information

• Message and appointment data is stored on servers we operate, encrypted both in transit (HTTPS/TLS) and at rest.
• Our infrastructure is hosted in the United States.
• Access to stored data is limited to authorized personnel who need it to operate or support the service.
• Messages are processed by our AI provider (Anthropic) to generate replies, under each Client Practice's own API account. Workflow execution logs are not stored.

6. Who we share information with

• Meta / WhatsApp Business Platform, to send and receive messages
• Anthropic, our AI provider, to generate assistant replies (data is not used to train AI models)
• Our infrastructure and hosting providers
• Calendar providers (such as Google Calendar), when a Client Practice connects their calendar for scheduling — events are created directly in the practice's own calendar
• The Client Practice itself, since messages you send are, by nature, delivered to that practice

We do not sell personal information.

7. Healthcare practices and HIPAA

Our handling is designed to support HIPAA compliance ("HIPAA-aware"): we sign a Business Associate Agreement (BAA) with every healthcare Client Practice, and each practice signs our AI provider's BAA under its own account. This policy does not replace the BAA.

8. Data retention

We retain conversation and appointment data for as long as needed to provide the service to the Client Practice, or as otherwise required by the practice's own policies or applicable law. Client Practices may request deletion of their data at any time.

9. Your rights

You may request access, correction, or deletion of your personal information by contacting us at info@irnivex.com. If you are a patient or customer of a Client Practice, please contact that practice directly first, since they control the underlying relationship.

10. Children's privacy

Irnivex is a business tool used by professional practices and is not directed at children. We do not knowingly collect information directly from children.

11. Changes to this policy

We may update this policy from time to time. The "Last updated" date above reflects the most recent revision.
